1. Who we are and scope
Keep Busy Leads provides pay-per-call lead generation for home service businesses. We advertise for and answer inbound phone calls, screen them, forward qualified callers to our business clients, and provide clients with a portal where they can review calls, recordings, transcripts and billing. Calls may reach our clients through phone numbers, advertising and other marketing channels operated by Keep Busy Leads or its Affiliates.
“Affiliates” means entities that control, are controlled by, or are under common control with Keep Busy Leads LLC.
This policy applies to information we process about:
- Business clients and their authorized users (“Clients”);
- Callers, meaning people who call a phone number operated by us or our Affiliates (“Callers”); and
- Visitors to keepbusyleads.com and related pages (“Visitors”).
When we forward a call to a Client, the Client receives information about that call (see Section 8) and uses it under its own privacy practices. We are not responsible for how a Client independently handles information it receives from or about a Caller.
2. Information from business clients
When a business signs up for or uses our services, we collect:
- Contact and account information, such as business name, contact names, email addresses, phone numbers, mailing address, login credentials and user roles.
- Service information, such as trades and services offered, service areas, business hours, licensing details, the phone numbers calls should be forwarded to, and campaign and billing rule settings.
- Billing information. Payments are processed by a third-party payment processor. We receive limited details such as the payment method type, the last four digits of a card, expiration date, billing contact and transaction history. We do not store full card numbers on our systems.
- Usage information, such as portal activity, review (dispute) requests and comments, and communications with our team.
3. Information about callers
When someone calls a phone number operated by us or our Affiliates, we collect and generate:
- Call details, such as the caller’s phone number, caller ID name where available, approximate location derived from the phone number, date, time, duration, the number dialed, responses to our automated phone menu (IVR), and call status (for example answered, missed or blocked).
- Call recordings of the conversation, including the portion after the call is forwarded to a Client.
- Transcripts created from recordings using automated speech-recognition technology.
- AI analysis, such as a summary of the call, the service requested, the call outcome, a lead assessment, and whether the call meets the qualification criteria for billing. This analysis is produced by automated tools and may be reviewed by our staff.
- Any information a Caller chooses to share during the call, such as a name, address, description of the job or appointment details.
We use this information to screen out spam and unwanted calls, route calls to the right business, determine whether a call is billable, resolve review requests, and maintain the quality and security of our services. We do not use automated call analysis to make decisions that produce legal or similarly significant effects about Callers.
4. Call recording notice
Calls to numbers operated by us or our Affiliates are recorded. Before a call is connected to a business, Callers hear a notice that the call may be recorded. By continuing the call after the notice, Callers consent to the recording. Some states require the consent of all parties to record a call, and we design our call flow with these requirements in mind. If you do not wish to be recorded, please end the call before you are connected and contact the business through another channel.
5. Website data, cookies and analytics
When you visit our website, we and our service providers may automatically collect:
- Device and log information, such as IP address, browser type, operating system, referring page, pages viewed and the date and time of your visit.
- Cookies and similar technologies. We use cookies that are necessary for the website and client portal to function (for example, to keep you signed in), and we may use analytics cookies or tools to understand how our website is used so we can improve it.
You can control cookies through your browser settings. Blocking necessary cookies may prevent parts of the site or portal from working. Our website does not currently respond to “Do Not Track” browser signals, but where required by law we honor recognized opt-out preference signals such as Global Privacy Control.
If you contact us by email or phone, we collect the information you provide, such as your name, business details and the content of your message.
6. How we use information
We use personal information to:
- provide, operate and maintain our advertising, call screening, call routing and client portal;
- record, transcribe and analyze calls, and determine whether calls are billable;
- process payments, maintain prepaid balances and handle review requests;
- send service and account communications, such as low-balance alerts, payment receipts and campaign status notices;
- respond to inquiries and provide customer support;
- detect, prevent and investigate spam, fraud, abuse and security incidents;
- improve and develop our services, including the accuracy of our call screening and analysis;
- comply with legal obligations and enforce our agreements; and
- for other purposes we describe to you at the time of collection or with your consent.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
7. How we share information
We share personal information only as described below:
- With the business the call is routed to, as described in Section 8. Calls are routed to one Client; we do not sell the same call to multiple businesses.
- With our Affiliates and service providers, as described in Section 9.
- For legal reasons, when we believe disclosure is required by law, subpoena or other legal process, or is necessary to protect the rights, property or safety of Keep Busy Leads, our Clients, Callers or others.
- In a business transfer, such as a merger, acquisition, financing or sale of assets, in which case information may be transferred subject to this policy.
- With your consent or at your direction.
8. Information we share with Clients
When a Caller is connected to a business through our services, the business that receives the call can see the following information about that call in the client portal:
- the Caller’s phone number and caller ID name, where available;
- the date, time and duration of the call;
- the call recording;
- the transcript; and
- the AI-generated summary and analysis of the call.
We provide this information so the business can respond to and serve the Caller who contacted it. Our Terms of Service require Clients to use this information only for that purpose, not to resell it, and to honor Callers’ requests not to be contacted.
9. Affiliates and service providers
Affiliates. We may share personal information with our Affiliates to operate the phone numbers, advertising and marketing channels through which calls reach our Clients, and to provide, support and secure our services. Affiliates handle this information consistently with this policy.
Service providers. We use service providers that process personal information on our behalf under contractual confidentiality and data-protection obligations, and only to perform services for us. They fall into these categories:
- telephony, call routing and recording;
- speech-to-text transcription;
- artificial intelligence and language processing;
- email and messaging delivery;
- cloud hosting and data storage;
- payment processing; and
- website analytics.
10. SMS and mobile messaging
If you are a Client user and opt in to receive text messages, we send account notification messages through our “Keep Busy Leads Account Alerts” program, such as low-balance alerts, campaign paused or resumed notices, payment receipts and other important account notices. We collect your mobile phone number and a record of your consent to send these messages.
- Message frequency varies based on your account activity.
- Message and data rates may apply.
- Reply STOP to opt out at any time. Reply HELP for help, or contact us at hello@keepbusyleads.com or (855) 912-4703.
- Consent to receive text messages is not a condition of purchase.
We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. We share this information only with service providers that help us deliver messages (such as messaging platforms and wireless carriers), and only to provide the messaging service. See our SMS Terms for program details.
11. Data retention
We keep personal information for as long as needed for the purposes described in this policy, including to provide the services, maintain billing and accounting records, resolve review requests and disputes, and comply with legal obligations.
Call recordings, transcripts and analysis are kept for as long as we need them to provide the services, bill calls and handle review requests and disputes, and for any longer period required by law or agreed with the Client. When information is no longer needed, we delete or de-identify it. Copies in backups are removed as backups are overwritten in the ordinary course, and until then remain protected by the safeguards described in Section 12.
12. Security
We use administrative, technical and physical safeguards designed to protect personal information, including encryption in transit, access controls, private storage for call recordings and transcripts, and time-limited links for authorized access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Clients are responsible for keeping their login credentials confidential.
13. Your privacy rights
Clients can review and update most account information in the client portal or by contacting us. Callers and Visitors may contact us to ask about the information we hold about them. To help protect your information, we may need to verify your identity before responding. Where a Client holds its own copy of Caller information, we may also refer you to that Client. Residents of certain states have additional rights, described in Section 14.
14. US state privacy rights
Several US states give their residents rights over their personal information. Some of these laws apply only to businesses that meet certain thresholds or exclude information about business contacts. We describe the rights below and will respond to requests as applicable law requires.
California
Under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, California residents have the right to:
- Know the categories and specific pieces of personal information we have collected about them, the categories of sources, our purposes, and the categories of recipients;
- Delete personal information we collected from them, subject to legal exceptions;
- Correct inaccurate personal information;
- Opt out of the sale or sharing of personal information (sharing means disclosure for cross-context behavioral advertising);
- Limit the use and disclosure of sensitive personal information to purposes the law permits; and
- Not be discriminated against for exercising any of these rights.
Notice at collection. In the past 12 months we have collected the categories of personal information described in Section 2 through Section 5: identifiers (such as name, phone number, email and IP address), commercial information (such as billing and transaction history), internet or network activity, approximate geolocation derived from phone numbers or IP addresses, audio information (call recordings), professional information about business contacts, and inferences contained in call analysis. We collect it from you, from your devices, from Callers and from our service providers, for the business purposes described in Section 6, and disclose it to the categories of recipients described in Section 7. We keep each category for the periods described in Section 11.
We do not sell or share personal information as those terms are defined under California law, and we have no actual knowledge of selling or sharing personal information of consumers under 16. When a Caller calls for a service, passing that Caller’s call details to the business the Caller is connected with is how we provide the service the Caller requested; it is not a sale. We do not use or disclose sensitive personal information for purposes that would give rise to a right to limit its use.
Virginia, Colorado, Connecticut, Utah, Texas and Oregon
Residents of Virginia, Colorado, Connecticut, Utah, Texas (under the Texas Data Privacy and Security Act), Oregon and other states with similar laws may, depending on their state, have the right to:
- confirm whether we process their personal information and access it;
- correct inaccuracies in their personal information;
- delete their personal information;
- obtain a copy of their personal information in a portable format;
- opt out of targeted advertising, the sale of personal information, and profiling in furtherance of decisions that produce legal or similarly significant effects (we do not engage in these activities); and
- appeal our decision on a request.
